You’ve made a booking and unfortunately you’re not able to come to Rottnest Island anymore? Please see below for a full details of our terms and conditions as well as the cancellation policy.
Please be aware that cancellations and modifications either in part or in full, will incur a cancellation fee dependant on the amount of notice you provide and the product and services booked.
All cancellations and administrative charges will be deducted from the total amount that you have paid for your booking. The remainder will be refunded to the credit card used to make the original booking or posted out to the registered guest in the form of a cheque.
The following is an outline of booking cancellation provisions applicable to Rottnest Island Authority’s (RIA) accommodation, rental mooring and bike bookings:
ACCOMMODATION CANCELLATIONS & MODIFICATIONS
a) All cancellations must be made via a written notification or email, unless you are making a cancellation in person, in which case appropriate identification will be required.
b) Cancellations or modifications made within 14 days of the original booking will incur an administration fee of $13.50 and remaining funds will be returned in full, provided the alteration occurs more than 14 days before arrival was due.
c) Where booking dates are changed more than 14 nights prior to arrival, but the value of the booking remains unchanged, an administration fee of $13.50 only will be charged.
d) Where a booking modification results in an additional payment being made due to extending a booking, no amendment fee will be charged.
e) For cancellations made in part or in full more than 14 days after the booking:

More than 14 nights prior to arrival: 50% of the cost of one night of the stay will be retained (based on average nightly charge)

3 – 14 nights prior to arrival: 100% of the cost of one night of the stay (based on average nightly charge).

2 nights or less prior to arrival: no refund given.

Leavers period bookings: no refund given.

Notice of cancellation in peak period times and group bookings is required in writing.

Ballot Bookings: Additional terms and conditions apply during ballot periods. Full details will be available at the time of application.
RENTAL MOORING CANCELLATIONS & MODIFICATIONS
a) Cancellation notice of more than 48hrs will incur a $13.50 fee.
b) Notice of less than 48hrs; 50% of the rent fee of the facility booked will be retained.
c) Any change to a booking once payment has been made will incur administration fees of $13.50.
Please Note: Cancellation fees can be waived on application due to weather conditions, of a strong wind warning or greater, has been issued by the Bureau of Meteorology for the waters surrounding Rottnest Island during the rental period.
BIKE HIRE CANCELLATION
a) Cancellations made more than 7 days prior to bike pick up will be fully refunded.
b) Cancellations made 3-7 days prior to pick up will incur a $13.50 fee.
c) Cancellations of 2 days or less, prior to pick up: full payment will be retained.

KEY HOLDER NAME CHANGES
a) Changes to the name of the key holder will incur an administration fee of $13.50 only
b) Written confirmation of the change must be supplied from the original key holder
c) Changes to key holder details such as address or contact numbers will not incur any fee
d) We are unable to make any key holder alterations for the ballot periods
CREDIT CARD SURETY
It is a condition of tenancy that the occupant provides a valid credit card pre-authorisation to the RIA and agrees to allow any cost for which they are liable under the tenancy, to be levied against this credit.
SECURITY DEPOSITS
Security deposits are required during certain periods; you will be advised of this at your time of booking.
LUGGAGE
NEW LUGGAGE TAGS
The Rottnest Island Authority (RIA) in conjunction with Rottnest Express and Rottnest Fast Ferries has recently introduced a new luggage label procedure that is designed to simplify the process of label distribution for those travelling to Rottnest.
The new system eliminates both the need to hand write delivery details on to labels and also having to obtain separate return labels when on the island. These factors have been identified as major contributors in cases of misdirected or lost luggage.
Your chosen ferry operator will produce your luggage labels with all your accommodation and travel details printed on them for both your travel to and from the Island.
Bookings made with at least 7 days advance notice of travel will have your luggage labels posted to you within Western Australia. If you make your booking with less than 7 days notice of your travel date luggage lables will need to be collected from your ferry operator at the terminal prior to your departure and a surcharge will be applied.

LUGGAGE GENERAL INFORMATION
a) We aim to deliver your correctly labeled luggage within two hours of your arrival on Rottnest.
b) Items such as surfboards, surf-skis, fishing rods, guitars, bicycles, cray-pots and golf bags will not be delivered and must be transported to accommodation by their owners. These items must to be picked up by passengers at the jetty after disembarkation.
c) Dive cylinders and gas cylinders will not be delivered due to dangerous goods handling requirements.
d) Medication and fragile items should be carried in hand luggage. Please be aware that once luggage is removed from the ferry you will not be able to access it until it has been sorted and delivered to your accommodation.
e) Hand luggage should be carried aboard the ferry as luggage placed in crates is transported to a sorting yard and is not accessible to the public.
f) A two hour delay may be experienced if unlabelled luggage is placed into crates as it will need to be sorted and returned to the Visitor Centre
LUGGAGE WEIGHT RESTRICTIONS
Please be aware that to comply with health and safety regulations size and weight restrictions apply to your luggage.

Each luggage item must not exceed 500mm x 800mm in dimension

No 'piggy-backing' of baggage items is allowed, for example, attaching a sleeping bag to a suitcase.

The Rottnest Island ballot system for accommodation covers only seven weeks of the year and allows everyone an equal chance of reserving holiday units during the most popular periods.
During the summer school holidays after Christmas and the Easter school holidays, accommodation is only available for set periods and must be reserved through the Rottnest Island ballot system. The second term (July) and the third term (September) holidays are not subject to a ballot.

The allocation of accommodation within the ballot periods is through an automatic and completely random process. International auditors Stantons International have audited recent ballots in order to ensure the transparency of the process.
BALLOT PROCESS
Only one ballot application per household can be lodged and duplicate applications will be cancelled. To maximise your chance of obtaining a suitable allocation, we recommend you read and understand the application, complete the ballot in full and submit it by the closing date.
Individuals who require mobility-impaired accommodation need to lodge their Rottnest Island accommodation ballot application in the normal way and also provide a letter advising the special facilities they require. This information must also be received by the closing date.
